Your information

Privacy Policy

Last updated 16 October 2026

1. Who we are

Kingdom Books is the “responsible party” for the personal information you give us, as defined in the Protection of Personal Information Act 4 of 2013 (“POPIA”). This policy explains what we collect, why, who we share it with, how long we keep it, and the rights you have over it.

Our Information Officer is the owner of Kingdom Books, and can be reached at orders@kingdombooks.co.za for any privacy question or request.

2. What we collect

We only collect what we need to sell and deliver your books:

  • Contact details — your name, email address and mobile number.
  • Delivery details — your street address, suburb, city, province and postal code, any delivery notes you add, or the PEP store you choose for PAXI collection.
  • Order details — the books you bought, prices, delivery option, any coupon used, any mission-work contribution, and the payment reference returned by our payment provider.
  • Correspondence — emails you send us and our replies.

We never see or store your card details.Payment is entered directly on iKhokha’s secure payment page. We do not create customer accounts, run advertising trackers, or collect special personal information (such as religious beliefs, health or biometric data).

Providing your details is voluntary, but without them we cannot process, deliver or contact you about your order.

3. Why we use it

We process your information because it is necessary to carry out your order (POPIA section 11(1)(b)), to meet our legal obligations such as tax record-keeping (section 11(1)(c)), and for our legitimate interest in running the shop (section 11(1)(f)). We use it to:

  • process your payment and confirm your order;
  • arrange delivery and send you tracking information;
  • answer your questions and handle complaints;
  • keep the accounting and tax records the law requires;
  • prevent fraud and keep the shop secure.

We do not send marketing emails or SMSes, and we never sell, rent or trade your information. If we ever offer a newsletter, it will be opt-in only, with an unsubscribe link in every message.

4. Who we share it with

We share only what each service needs to do its job. These “operators” process your information on our behalf and are bound to keep it confidential and secure:

  • iKhokha — card payments.
  • The Courier Guy or PAXI (PEP) — your name, phone number and delivery address or chosen store, to deliver your parcel.
  • Resend — sending order emails and receiving your replies.
  • Vercel and Neon — hosting the website and storing order records.

We may also disclose information where the law requires it, for example to the South African Revenue Service or in response to a court order.

5. Information stored outside South Africa

Some of our hosting and email providers store data on servers outside South Africa, including in the United States and European Union. Under section 72 of POPIA, we only use providers that are bound by law, binding agreements or corporate rules that give your information a level of protection substantially similar to POPIA.

6. How long we keep it

Order and payment records are kept for five years after the order, as required by the Tax Administration Act. Emails are kept for as long as they are useful for handling your order or query, and no longer than five years. After that, your information is deleted or de-identified.

7. How we protect it

All traffic to the site is encrypted with HTTPS. Order records sit in an encrypted database that only the shop owner can reach, behind a secured sign-in. If we ever have reason to believe your information has been accessed without authorisation, we will notify you and the Information Regulator as soon as reasonably possible, as section 22 of POPIA requires.

8. Cookies and browser storage

We do not use advertising or analytics cookies. Your shopping bag is remembered in your own browser’s local storage so it survives a page refresh; it never leaves your device until you check out. You can clear it at any time by emptying your bag or clearing your browser data. Our sign-in provider sets essential cookies only on the shop’s private admin pages.

9. Your rights

Under POPIA you have the right to:

  • ask whether we hold information about you, and get a copy of it;
  • ask us to correct information that is wrong or out of date;
  • ask us to delete information we no longer need or are not entitled to keep;
  • object to how we process your information;
  • complain to the Information Regulator.

Email orders@kingdombooks.co.za to make any of these requests. We will respond within 30 days, free of charge. We may ask you to confirm your identity first, and we may need to keep certain records (such as invoices) for as long as the law requires.

10. Children

Our shop is intended for adults. If you are under 18, please ask a parent or guardian to place your order. We do not knowingly collect information from children.

11. Complaints

Please contact us first so we can try to put things right. If you are not satisfied, you may lodge a complaint with the Information Regulator (South Africa):

12. Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed. Please also read our Terms of Service.
